Terms of Service & Privacy Agreement

By accessing or using LockerWise, you (the "Client" or "Institution") agree to be bound by these Terms and Conditions. This agreement governs the use of our locker management software and outlines our commitment to data security and privacy.

1. Scope of Service

LockerWise provides a cloud-based Software-as-a-Service (SaaS) platform for: Automated locker assignments and renewals. Real-time analysis and smart expiry alerts. Issue tracking and maintenance resolution. Role-based staff management and audit logs.

2. Data Privacy & User Information

Ownership: The Institution retains all rights and ownership of the data entered into the system (Student IDs, names, and locker history). Usage: LockerWise uses this data strictly to provide the service (e.g., sending a 7-day expiry alert). We never sell or share data with third-party advertisers. FERPA Compliance: For our educational partners, we acknowledge that student data may be subject to the Family Educational Rights and Privacy Act (FERPA). We manage this data as a "School Official" with a legitimate educational interest.

3. Data Backups & Availability

We understand that Campus Recreation centers and schools depend on constant access to their data. Daily Backups: LockerWise performs automated, encrypted backups of your entire database every 24 hours. Redundancy: Data is stored across multiple secure servers to ensure that in the event of a hardware failure, your locker records remain intact. Recovery: In the unlikely event of data loss, our recovery protocols allow us to restore your system to the most recent backup point with minimal downtime.

4. Security Measures

Encryption: All data transmitted between your facility and our servers is protected by industry-standard SSL/TLS encryption. Role-Based Access: The Institution is responsible for managing its staff accounts. LockerWise provides the tools to add or remove staff instantly to prevent unauthorized access. Audit Logs: Every locker assignment, cancellation, and issue report is logged in the Locker History, providing a permanent audit trail for campus security.

5. Billing & Smart Pricing Control

Subscription: Fees are billed based on the selected plan (Basic, Pro, or Enterprise). Smart Pricing: If the Institution uses LockerWise to collect fees from students/members, the Institution is responsible for setting accurate rates. Refunds: We offer a "No Credit Card Required" trial. Post-payment, refunds are handled on a case-by-case basis through our support channel.

6. Support Standards

Response Time: We guarantee a response to all support inquiries within 24 hours maximum. Priority Support: Enterprise clients receive 24/7 priority assistance for critical system issues.

7. Limitation of Liability

LockerWise provides the software "as-is." While we maintain rigorous backup and security protocols, LockerWise is not liable for physical theft or damage occurring at the physical locker site. Our responsibility is limited to the digital management and data integrity of the records.

8. Termination of Service

Either party may terminate the agreement with 30 days' notice. Upon termination, LockerWise will provide the Institution with an export of their Locker History & Logs and subsequently delete all institutional data from our active servers following a 60-day grace period.
